Simplify document handling by customising naming conventions in your projects. Follow the guide to set up project and organisation codes, and disciplines for improved clarity and workflow efficiency.

Step By Step Guide:

  1. Click "Settings" on the Plexa Dashboard

  2. Click "Projects" tab

  3. Click the "pencil icon" next to the project you want to edit the document naming convention.

  4. Scroll down to the "Setup Document Naming Convention"

  • The first step is to set up the "Project code" for documents.

  • Enter a short, unique code for this project (e.g., RIV01) to prefix all document numbers

  • Next, assign an "Organisation Code" you want to see for each Organisation that uploads Documents (e.g., PXA, ACME) so files are traceable

  1. Assign a "Discipline" for each Organisation that uploads Documents

  2. Manage the out of the box Disciplines through the settings icon.

  3. Add additional Disciplines not shown in the list via the + icon.

  4. Select the "Document Type", Plexa provides out of the box Document Types that you can add to, edit and remove.

  5. Enter the "Document Name"

  6. Enter the "Document Number"

  7. Assign a "Status" and then assign a colour code

  8. Dictate a revision type - Either Numbers or Letters or Both.

  9. Click "Save"
